Export Participant Data

PassPass allows you to easily export all your participants' data in Excel format for your analysis, communication, or tracking needs.

Access export options

Navigate to export

  1. Access your event

    • Open the dashboard of your relevant event

    • Click on the "Participants" tab in the left menu

  2. Locate the “Actions” export button

    • At the top right of the participants table

    • Click on the "Actions" button

    • Two export options appear in the dropdown menu

      • Type 1: Export Excel (basic data)

      • Type 2: Export form data (complete data)

Type 1: Export Excel (basic data)

Basic export content

This export contains the essential information of each participant:

Included columns:

  • ID : Unique identifier of the participant

  • First name : Participant's first name

  • Last name : Participant's last name

  • Email : Participant's email address

  • Nom du ticket : Ticket type (e.g., ticket paid, ticket demo)

  • Prix d'achat : Amount paid for the ticket (0 for free tickets)

  • Code promo : Discount code used (if applicable)

  • Dernière validation : Ticket validation status

  • Date d'achat : Timestamp of purchase or addition


Type 2: Export form data (complete data)

Usage condition: This option is only available if you have created custom fields in your purchase path. If no custom form has been configured, only the basic Excel export is available.

Configuration from "Purchase Path": Custom fields are configured when creating your tickets via the "Purchase Path" option. This allows you to add specific questions, mandatory fields, or multiple options according to your needs.

Complete export content

This export includes all the information collected during registration:

Basic data:

  • All information from the basic Excel export

  • Plus all data from custom fields

Custom form data:

  • Answers to custom questions

  • Additional collected information

  • Dietary preferences, specific needs

  • Multiple choices, checkboxes

  • Comments and free text areas

Billing data is not included in participant exports, even if the billing option is enabled for your event.

Why this limitation? Billing data is linked to a global order, not to a specific participant. An order may include multiple tickets for different participants.

Access billing data

Alternative procedure:

  1. Access the "Orders" tab in your event dashboard

  2. Export order data to obtain billing information

  3. This data includes billing addresses, VAT numbers, and other tax information


Frequently Asked Questions

Can I export only certain participants? The export concerns all participants of the event. For a specific selection, before exporting, select the targeted individuals, or use Excel filters after export.

Are the data updated in real-time? No, the export reflects the state at the time of generation. Re-export to get the most recent data.

Can I export in CSV format? Currently, only the Excel format is available. You can convert the Excel file to CSV from your spreadsheet software.

Do the exported data comply with GDPR? Yes, but you must process this personal data in accordance with GDPR. Use it only for managing your event and secure its storage.

Can I see which participants used a promo code? Yes, the "Code promo" column indicates the code used. Empty boxes (-) correspond to participants who did not use a discount.

Can I automate exports? Manual exports cannot be automated. For automatic synchronization, contact our support to explore setting up webhooks.

Where to find billing data? Billing data is not in the participant export. Go to the "Orders" tab to export this transaction-specific information.
