Add Participants: Manual and CSV Import

PassPass offers you two methods to add participants to your events: individual manual addition and bulk import via CSV file.

1. Manual participant addition

Access participant management

From your event dashboard, go to the Participants section and click the Add a participant button.

Enter information

  • First name: participant's first name

  • Last name: participant's last name

  • Email: valid email address (required for sending confirmation)

  • Custom fields: if you have set up a custom form, you can fill in all fields directly when adding

Assign tickets

Select the ticket type to assign and choose the quantity. You can assign multiple ticket types to the same participant.

Validation and confirmation

Check the entered information and click Confirm addition. The participant will automatically receive a confirmation email containing the event details, their tickets in QR code format and practical information.

Completely free Manually adding participants is entirely free, regardless of the number of tickets assigned.

This feature is ideal for:

  • Inviting VIPs or partners

  • Offering seats to your team

  • Managing press tickets

  • Assigning seats following competitions

Irreversible action Once added, the participant cannot be removed from your list. Only the deletion of their free tickets is possible.


2. Import via CSV file

For large additions, CSV import allows you to add multiple participants simultaneously.

Download the template

In the Participants section, click Import participants and download the predefined CSV template available in the modal.

The template contains the following columns:

  • First name: participant's first name

  • Last name: participant's last name

  • Email: valid email address

  • Ticket: open the dropdown to select directly from your existing tickets

  • Quantity: number of tickets of this type

Prepare your file

Complete each line with a participant's information. Respect the exact column names. For the "Ticket" column, use the dropdown which displays all your existing tickets by default.

Managing multiple tickets To assign multiple ticket types to the same participant, create multiple lines with the same name/email and change the ticket and quantity on each line.

Including add-ons Add-ons can also be assigned. Select them from the dropdown in the "Ticket" column. The "Quantity" column also works for add-ons.

Import and validation

Select your completed CSV file and click Import.

PassPass displays all correctly formatted lines. Check that the information matches your expectations.

Common errors include:

  • Invalid or poorly formatted email

  • Ticket not selected in the dropdown

  • Empty required fields

  • Incorrect data format

In case of errors, correct your CSV file and re-upload the corrected file. Repeat until you get 100% valid lines.

If all lines are valid, click Confirm import. Participants are added and each participant automatically receives their confirmation email.

Data preparation

  • Check the validity of email addresses

  • Remove duplicates from your list

  • Standardize the format of names

Managing large volumes

For large volumes, divide your file into several smaller imports. This makes error detection easier and allows better process control.
